Sign out a visitor from the backoffice

A visitor who leaves without signing out stays on the emergency list and in the “currently in the building” figures until somebody signs them out. You can do that from the backoffice in three places, for one visitor or for many at once.

From the dashboard

The dashboard is the quickest route for a visitor who just left.

  1. Open the Vizito backoffice. The dashboard opens first; “Dashboard” in the left menu brings you back to it.

  2. Find the visitor in “Latest activities” and click their name. The “Visitor details” window opens.

  3. Click “Manual sign out”.

The “Today visitors current” widget at the top of the dashboard opens the visitor log filtered to everyone still inside, which is the list to work through at the end of the day.

From the visitor log

  1. Select “Reports” > “Visitors” in the left menu.
  2. Click “Today visitors current” to see who is still signed in, or filter on a name.
  3. Click the row of the visitor. In the “Visitor details” window, click “Manual sign out”. The button only exists while the visitor is signed in.

Several visitors at once

  1. In the visitor log, tick the checkbox at the start of every row you want to sign out. “Today visitors current” first keeps the list short.
  2. Click “Bulk action” under the list and choose “Sign out”.

The whole group is signed out with the current time.

What you cannot change

The sign-in and sign-out times are recorded when they happen and cannot be edited afterwards, not by an administrator either. “Edit” in the “Visitor details” window only changes the fields you added to the visit type yourself, such as a note. A visitor signed out manually today because they forgot yesterday therefore keeps today’s time; add a note if the real time matters for your records. See Add visitor notes.

By default a visitor can only be signed out on the day they signed in. If your visitors stay overnight, raise “Number of days you’ll be able to sign out after signing in” under “Account settings” > “General” > “Advanced settings”, so they still appear in the sign-out lists the next day. Let Vizito do it

Who can sign visitors out

“Manual sign out” and the “Sign out” bulk action need the Receptionist role or higher. A Security guard or an Employee sees the visitor but not the button. See User management and user roles.
