Employees on the emergency list

The emergency list holds everyone who signed in through Vizito and has not signed out yet. Employees are not on it by default: a host is somebody a visitor comes to see, not somebody who signed in. If your evacuation procedure needs staff on the same list as visitors, employees have to sign in and out the way visitors do. There are two ways to get there.

Option 1: an Employee visit type

Give employees a visit type of their own, so they sign in at the tablet or on their phone in a few taps and stay apart from real visitors in your reports.

  1. Open the Vizito backoffice, select “Account settings” > “Visit types” in the left menu and click “Add visit type”. Name it “Employee”. See Visit types.
  2. On the “Sign-in fields” tab, keep “First name” and “Last name” and set the other fields to “Inactive”, so signing in takes seconds. Set “Here to see?” to “Inactive” as well: an employee has no host. See Sign-in field configuration.
  3. On the “General” tab, switch on “Registered visitor” and add every employee as a registered visitor of this visit type, one by one or from a CSV file with “Import data” under “General” > “Manage registered visitors”. See Registered visitors.
  4. Switch on “QR code sign in” under “Account settings” > “General” and give every employee their personal QR code: tick them under “Manage registered visitors”, click “Bulk action” and choose “Download QR codes”. From then on they sign in and out by holding that code in front of the tablet. See QR-code signin.

Employees who would rather not touch the tablet scan the contactless code on the tablet, or a static QR code on the wall, and sign in as a registered visitor on their own phone. See Contactless sign in and Static QR codes.

Three things to decide up front:

  • Signing out. Somebody who forgets to sign out stays on the emergency list. Set an automatic sign out for the Employee visit type at the end of the working day. See Automatic sign out.
  • Notifications and badges. Switch off host notifications and badge printing on the Employee visit type, otherwise every arrival prints a badge and mails somebody.
  • Plan limits. Every sign in counts as a visitor for your plan. A site where 50 employees sign in every working day uses about 1,000 visitors a month, which needs the Enterprise plan. See Billing.

Option 2: push presence from your time and attendance system

If employees already clock in and out with a badge reader or a time and attendance system, that system can tell Vizito, so nobody signs in twice. This runs through the Vizito API and needs somebody who can build a small integration on the side of your attendance system, or a partner who does it for you.

  • A clock in becomes a sign in: the API call “Signing in a visitor” creates a visit for the Employee visit type you made above. For employees who are registered visitors, “Signing in registered visitors” does the same from a list and skips anyone who is already inside, so it is safe to repeat.
  • A clock out becomes a sign out: “Signing out a visitor” closes the visit.
  • The credential the integration uses is an API key, created under “Account settings” > “Integration”. See API access and API keys. The calls themselves are documented on the developer portal. See API documentation.

The emergency list then shows staff and visitors together, with “Visit type” telling them apart, and “Configure fields” lets you add columns such as “Entry point” for a site with several buildings. Everything in Emergencies applies to employees on the list as it does to visitors: alerting, marking safe, exporting and printing.

Hosts synchronised from Microsoft Entra ID or another directory are not affected by any of this. Synchronised hosts are the people a visitor can select at the tablet. They appear on the emergency list only when they sign in themselves.
