Invitations

Invitations are the way Vizito announces an expected visitor before they arrive. From the backoffice, the host (or a receptionist on their behalf) creates a pre-registration with the visitor’s name, email, company and the date and time of the appointment. Vizito immediately sends a branded email to the visitor with a personal QR code, a short reminder of the address, and any instructions you have configured for that visit type.

When the visitor walks in, they simply scan the QR code at the kiosk. All the fields that were already known are filled in automatically, so check-in becomes a one-tap confirmation instead of a full form. The host gets the usual sign-in notification, and the pre-registration is closed automatically. If the visitor never arrives, the open invitation stays visible in the logbook so you can follow up.

Send invitations to pre-registered visitors

From the pre-registration configuration panel you can send an invitation to your visitor:

Which results in the following email being sent:

You can customise the look and feel of the invitation email (logo, colours, sender name, signature) and translate it into the visitor’s language. Multi-visitor invitations are supported as well, which is handy for board meetings, audits or training sessions where a group of people will arrive on the same day. Each guest still receives their own QR code, so attendance can be tracked individually in the logbook.
